EDMP Trouble Shooting Tips

The current version of the EDMP program is dated 01/10/2008.  If any Registry is using an old version of the program please contact Ruth Greenlees (r.greenlees@ulster.ac.uk) for the latest version, which can also be downloaded from the website.  The version date is displayed on the bottom right-hand corner of the log-on screen.

The EDMP program is continually being upgraded as Central Registry becomes aware of common user problems.

Below are lists of problems associated with EDMP.  These are divided historically by the EDMP version number.  If any older issues are still relevant to the current version they are marked with an * and it may be useful to re-read these points.

EDMP Version Date 23/05/2002

1*

If a case has more then one item of information to be entered in the GENREM field (or any text field), please do NOT use the ENTER key to separate text information.  Instead, use a full stop to separate the text information.  This allows all the information per case to be stored in a single row.  If you use the enter key to separate pieces of information, the information takes up more than one row, which causes immense problems when it comes to importing/exporting files to Central Registry.
2* Do not insert inverted commas or semi-colons (" or ;) in your data file.  This causes fatal errors.

3*

DATEMO and DATEFA variables.  Guide 1.2 specifies that the code 9999** can be used to code missing maternal and paternal date of births.  However, when importing data to EDMP this code will generate a fatal error message.  Please use 999944 for missing maternal date of birth and missing paternal date of birth.

4

The default maternal age calculation is wrong.  Please check your computer default settings.  Go to the control panel, then regional options, then date, to see how your computer interprets a 2-digit year.

5

The variable name "faanom" claims that the length of value is greater then allowed.  It says that there are two digits rather than one.  However, there is only 1 digit in each cell.  This error is caused by EDMP not reading to the end of each row - this means that some of the variables are not being read in the appropriate columns.  (This problem occurs internally as the file looks correct).  To remedy this, add a dummy column at the end of your data filed named xxx and enter value of 1 for each case.  This makes the program read to the end of your data file and ensures that the correct values are read by the appropriate variables.
6 SP_UNUSEX is spelt wrongly in EUROCAT Guide 1.2 (page 11).  The corect spelling is SP_UNUSEXP.

7*

ILLBEF, ILLDUR1, ILLDUR2, HABIT1, HABIT2 are 4-digit codes.  No points are accepted within the code (for example L53.9 should be coded as L539).

8*

Each case should be given a unique local identifier number.  It is useful to prefix numbers with the year of birth as this avoids duplication of ID numbers from one year to the next.  Cases born in 2002 could have ID numbers prefixed with the year (for example, 02001 or 2002001).
9* Do not use dots or points in ICD10 codes.  Enter digits only (for example Q360 for cleft clip, bilateral).

10

EDMP generates the following error message "Total number of previous pregnancies is >still/live births" when the code for unknown 99 is entered.  Thsi will be corrected in the next version.
11

EDMP has a problem when date of death is earlier than the date of birth for spontaneous abortions and stillbirths.  Temporary solution is to code the date of death as the day of abortion or birth.  The problem will be corrected in the next version.

12

EDMP generates an error message "Date of discovery of malformation must be before birth date" when Date of Discovery is coded as unknown for the days and months.  This problem will be corrected in the next version.

13

DOB coded as 99 generates an error message saying that infant date of birth is not entered.  This problem will be corrected in the next version.

14

When birthweights outside the normal range are confirmed using the tick box, and then saved, the error message is still generated.  This problem will be corrected in the next version.

EDMP Version Date 06/02/2002

1

MCKUSICK variable.  EDMP currently only accepts a 5 digit code for this variable.  Could all registries insert the 6 digit MCKUSICK code in the SP_SYNDROM column until the new version is installed (or if using the EDMP program to enter date, the text field next to the field where the Syndromes ICD 10 code is entered).

2

A discrepancy has been found between Guide 1.2 and the EDMP in Date of Discovery.  When year of discovery is unknow, Guide 1.2 specifies code 77, EDMP specifies code 44.  If you have 77 in your data, the EDMP will give you an error message saying year of discovery is before date of birth of child.  You can ignore this message, or change your code to 44, or ask for a new corrected version of the EDMP.
